APPLYING FOR VISAS TO JAPAN


First, please check if you need an entry visa. It depends on your nationality, citizenship, etc. Please ask the nearest Japanese Embassy or Consulate.

The Registration Office will provide the general visa application for international conferences. Citizens of Russia and NIS nations can get a visa by the M- method, Citizens of China can get a visa by the P-method.

*To Chinese applicants: please let us know the above two in Chinese characters separately by fax or pdf file.

Date of birth: please indicate the month in letters, not in numbers.

Reason for attending conference ( To present paper, to observe, etc...)

Arrival in Japan

Arrival time, date and place (airport) of arrival in Japan

Flight number and name of airline

During Stay in Japan

9.

Domestic flight number and name of airline, train or other carrier/transportation between the conference site city and the airport of arrival in/departure from Japan

10.

Name, telephone number, and address of hotel(s) or other accommodations while in Japan which you will be staying at

11.

Schedule while in Japan (in detail)

Departure

12.

Departure time, date and place (airport) from Japan

13.

Flight number and name of airline



(2) We will prepare the necessary documents based on your information, and send them to you by EMS.

(3) Please submit the documents to the Japanese Embassy or Consulate.

(4) You will then receive the visa.

Notice:

1.

It takes a few days for steps (1) and (2), about one week to receive by EMS, about 10 working days minimum for steps (3) and (4). So, you should start as soon as you can, we suggest two or three months before the conference.

The information about your flights and hotels are ALWAYS necessary to apply visas. You must book air tickets and hotels beforehand.

If you will be accompanied, please give us the necessary information about them as above. In general, you can apply for visas together, but in some cases you must apply separately, if, for example, your schedule in Japan is quite different; your passport type is different. Please ask the nearest Japanese Embassy or Consulate and decide how you will apply.

If your schedule demands that you stay in Japan for a longer time, you may want to apply for another type of visa, for example, if you plan to stay at an institute to contribute a joint thesis, you plan to give lectures at a university or you plan to visit relatives. Please ask the nearest Japanese Embassy or Consulate and decide how you will apply. Be sure to finalize details with other parties if you plan to stay beyond the period of the Conference.
